Systems Software for Bidding, Project Monitoring and Information Sharing

Systems Software used for bidding and subsequently for project monitoring, control and information sharing are described below:

ETest

The ETest provides a comprehensive estimation tool, based on company’s norms, experience and cost of doing work which are imbedded in the system. The system breaks down the pay items (BOQ) into cost items (activities) to produces estimates and bid proposals. It facilitates the interaction of costs, schedule, and resources through every phase of the project life cycle. It is seamlessly integrated with P6, thus for any awarded project the complete chain of activities as available with details in P6 for progress monitoring.

Primavera Project Planner (P6)

Primavera Project Planner (P6) is a world renowned off-the-shelf package meant for planning and monitoring purposes on small, medium and large-scale projects.

At Etimaad it is used for project scheduling, progress monitoring, resource monitoring, budget monitoring and generation of reports.

Periodic (Level IV) schedules are generated based on the project (Level III) plan and progress entered in the system on the basis of the defined Work Breakdown Structure. Information gathered includes Discipline, Zone, Area and Activities, craft wise resources (manpower), direct materials, consumables and equipment utilization.

Tanseeb

Tanseeb is the software system designed to monitor all related activities in support of the actual progress taking place during the project execution phase. It consists of completely integrated systems, functionality of which is described below:

  • Procurement initiation system: Starting from material inventory status, material requisition and its follow-up, the system provides a controlled environment for requesting for procurement of goods or services.
  • Material management system: The system facilitates in procurement planning, based on the Material Requirement Plan (MRP) received from the project planning team.
  • Procurement and expediting system: Complete set of procurement related activities, including request for quotation, comparative statement, vendor selection, purchase order (PO), etc. are covered in the system.
  • Inventory management system: The system caters to the inventory management requirement of company’s as well as client’s store. With receipt, inspection, approval, storage, issuance, returns all accounted for. 
  • Inspection and testing system: The main feature of the system is inspection progress and monitoring; inspection activities scheduling and performance control.
  • Spool tracking system: The system is designed to track the progress of pipe work construction from spool pre-fabrication through erection, hydro testing to quality control documentation close-out. A Punch list facility is included to track all incomplete or problematic items. The system is intended for data recording by staff from the Fabrication/Erection or Quality Control departments.
  • Document tracking and control system: The system is primarily meant for external documents, i.e. from client or consultant, but can also be easily extended to cater for internal documents using intelligent coding structure. The reporting capabilities of DCS help document controller keep track of different information related to for e.g. drawings, their revisions, their circulation status, etc.
  • Manpower management, attendance and salary system: Particulars of all the site-based staff are available in the system. Daily staff attendance is entered into the system, including the Activity Code on which the work was performed. This supports in calculating the earned man-hours and to determine the efficiency of utilization of manpower with each supervisor. For the purpose of Payroll it provides complete figures for each direct employee deployed at site.
  • Equipment utilization and tracking system: The system is designed to control equipment utilization, cost and productivity by tracking its deployment on the field. Record is maintained for each piece of equipment for the number of hours the equipment has worked on various WBS based Activities. This, together with the cost incurred on each piece of equipment in the shape of POL, O&M and repairs, helps the system in generating various equipment productivity, utilization and cost benefit reports to support the site management team to control equipment deployment.

ETfin

ETfin is company’s financial management system, consisting of General Ledger system, which encompasses the Accounts Payable and Accounts Receivable modules, and the Fixed Assets system which consists of fixed assets register, fixed asset costs, depreciation, etc. Both systems are fully integrated with Tanseeb and P6.

eOffice

For Company wide information sharing, Eitmaad Engineering maintenance its own web portal, the ‘eOffice’, which provides users with a Digital Library, Message Board, Project Portal and other collaborative tools. This is a web based application for sharing documents and other information timely and efficiently.
